Warning message from MultiTerm: Entry locked by another user

Symptoms/Context
You want to edit an entry in MultiTerm or Trados Studio but you receive the message that the entry is locked by another user. However, no one else is using the termbase or is working on the same entry.
Resolution
If you are using a MultiTerm server termbase, you can unlock these entries through MultiTerm Administrator (see our product help). However, for file-based termbases there is no user interface that enables you to unlock these entries. You need to use one of the workarounds described below.

Workaround 1

Reorganize your termbase through the MultiTerm Desktop application:

  1. Open the Catalog view.
  2. Select Termbase > Reorganize from the menu.
  3. Tick the box for one or more termbases that you want to reorganize.

    NOTE: Do not use any other options. More information can be found here: Reorganize termbase.
  4. Click OK. When the termbase has been reorganized, the Next button becomes active, and the Results page is displayed.
  5. Close the Results page.
  6. Go to the Terms view and try now to Edit the entry that was locked before.

If this workaround is not successful, proceed with workaround 2, 3 or 4.

Workaround 2

Recreate the termbase.

Workaround 3

  1. Open the termbase in MultiTerm
  2. Go to the locked term/entry
  3. Right-click and select Add copy and save the copy.
  4. Delete the locked term
NOTE: The entry number is not copied/identical but is a new one.  

Workaround 4

For this workaround you need Microsoft Access (see NOTE section below) installed on your machine:

  1. Close all RWS applications.
  2. Create a backup of your termbase
  3. Open Microsoft Access 2007 (or higher)
  4. Click on File > Open
  5. In the Open dialog:
    • Browse to the folder where your termbase is stored.
    • Choose in the file type list All Files
    • Highlight your termbase with the type/extension *.sdltb and click Open (or just double click):
  6. The database content of your termbase opens. On the left-hand side, you see a list of tables. Double-click on the table mtLocks
  7. You will see columns including data on all your entries that are locked. Mark/highlight all entries or as an alternative click on the arrow in the left upper corner to mark the complete table content.
  8. Press the Delete button on your keyboard to delete all the content of this table. You will be asked if you are sure that you want to delete all content. Confirm with Yes/Ok.
  9. Save the changes by clicking on the little disk symbol or through File > Save:
  10. After opening the termbase again you should be able to Edit all term entries again.
 

If you do not have Microsoft Access installed on your machine, you may want to install one of the following (free) database programs:

  • Database Browser: http://www.etl-tools.com/database-browser/overview.html
  • OpenOffice Base: https://www.openoffice.org/product/base.html
Root Cause
A locked entry is expected behavior because several users can work at the same time with one termbase. This is to prevent users from editing the same entry concurrently.

For file-based termbases, a locked entry commonly means that during editing MultiTerm / Trados Studio itself crashed and you were not able to save/close the edit session for your term. The entry is labeled as a locked entry.
