Trados Enterprise/Accelerate/Team: How can I set up Multi Factor Authentication (MFA) on my phone to log into a tenant?

Question

I have been invited to a Trados Enterprise/Team/Accelerate tenant that has Multi-Factor Authentication (MFA) enabled, meaning that I need to provide a code every time I log in. How can I install and configure my mobile phone to generate these codes?

Choose and install an Authenticator app

Trados Accelerate / Enterprise supports two different authenticator apps: Google Authenticator, and Microsoft Authenticator. RWS does not recommend either one over the other, so the decision of which one to use is a personal choice.

When you have decided which authenticator app you with to use, open the relevant link below on your mobile device and install the app.

Sign in to Trados Enterprise/Team/Accelerate on your computer

The next step is to sign into your Trados Enterprise/Team/Accelerate account using your RWS ID.
 

Single Sign-On (SSO) Users

If your organization is set up to use single sign-on, then:
 
  1. Go to the Trados Accelerate / Enterprise login page.
     
  2. Type your email address in but do not press the ENTER key.
     
  3. The password box will disappear, and you will see the text SINGLE SIGN-ON ENABLED. You may now either click the LOG IN > button, or press the ENTER key on your keyboard.

    Single Sign On (SSO)
     
  4. This will take you to your organisation's log in page where you will be able to log in (usually using the credentials you log into your computer with).

HINT: If you are not sure whether your organisation has SSO configured or not, simply type your email address but do not press ENTER. If the password box disappears then SSO is enabled, but if it remains then SSO is not set up for your organisation.

 

Users without an existing RWS ID (non-SSO)

If you do not yet have an RWS ID, you are required to create one before you may log in:
 
  1. Go to the Trados Enterprise/Team/Accelerate login page.
     
  2. Click Sign Up to switch to the sign-up tab.

  3. Fill in all of the required details, and then click the SIGN UP > button.
     
  4. Continue to follow the on-screen prompts to complete the sign up process.
     
  5. Go back to the Trados Enterprise/Team/Accelerate login page and log in with your new account.


 

Users with an existing RWS ID (non-SSO)

Log in using your email address, and your RWS ID password:
 
  1. Go to the Trados Enterprise/Team/Accelerate login page.
     
  2. Enter your email address and your RWS ID password.

    Log In
     
  3. Click LOG IN > to authenticate.

HINT: If you have forgotten your password then click the Don't remember your password? link, and follow the on-screen instructions.

Having followed the instructions above to log in, there should now be a QR code on your screen under the heading Secure Your Account.
 
  1. Open Authenticator on your phone.
     
  2. Tap the + button in the bottom right-hand corner of the screen.

  3. Tap the Scan a QR code.

  4. Use your phone's camera to scan the QR code on your computer screen.
     
  5. You will now see your current code underneath your RWS ID.

  6. Enter the code from Authenticator into the Enter your one-time code box underneath the QR code on your screen, and click Continue.


 

Microsoft Authenticator Configuration

Having followed the instructions above to log in, there should now be a QR code on your screen under the heading Secure Your Account.
 
  1. Open Authenticator on your phone.
     
  2. Tap the + button in the top right-hand corner of the screen.

  3. Tap Other (Google, Facebook, etc.).

  4. Use your phone's camera to scan the QR code on your computer screen.
     
  5. You will now see your current code underneath your RWS ID.

  6. Enter the code from Authenticator into the Enter your one-time code box underneath the QR code on your screen, and click Continue.


 

Recovery Code

Now that your Multi Factor Authentication app is set up, make a note of the recovery code on the screen and store it in a safe place where no one else can access it. You will need this if your phone is lost or stolen, or if you want to transfer your Multi-Factor Authentication to another device.

Note that you must tick the box next to I have safely recorded this code, and click Continue before you can log in.

From now on you will only need to open the Authenticator app on your phone, and type the current code when logging into this tenant.
